Minimum Hardware Requirements for User Workstations

  • Windows XP, Windows 7 or Windows 8
  • 4GB RAM
  • 15.5″ or larger monitor

To store digital copies of publisher license agreements and author contracts we recommend a digital scanner is required to convert paper documents to PDF files. Suggested models include:

Multi-User File Server

In a multi-user environment the literary agent software’s shared data file (*.dat) can be stored on a user’s personal computer, windows file server or network attached storage device (NAS) that is accessible by all users. For literary agencies without a windows file server already installed we recommend a NAS device.

A personal computer only provides access to the data when the personal computer hosting the data file is on.

NAS device is our recommended option for multi-user organizations that do not already have a Windows server. NAS devices are always on and costs less than a windows file server.  We recommend the Synology brand. A 2 bay Synology DiskStation (DS213j) with two 3TB drives purchased from Amazon will cost about $600. A more powerful 2 bay DiskStation model (DS713+) costs about $1000 with two 3TB Drives. Companies in areas prone to flooding or hurricanes should consider the ioSafe 214 NAS RAID powered by Synology DSM device. The ioSafe 214 is a fireproof and waterproof, network connected, multi-drive NAS/RAID storage device for terabytes of your precious or business data. The ioSafe 214 is powered by a Synology DSM motherboard and operating system. It allows for fast access on your local network and remote access from nearly any device connected to the internet.

Windows File Server is the most expensive option. It requires installation of windows server software (either Windows Server 2012 R2 Essentials or Windows Server 2012). We recommend Dell, HP or Levano brand servers. A DELL Entry level PowerEdge T110 II server with Windows Server 2012 preinstalled and RAID hard drives costs about $1360 USD as of February 2014.

Data File Backup

We STRONGLY recommend that clients utilize an online backup service to automatically backup their data file (*.dat) and documents (contracts and licenses) daily. Popular online backup services include Carbonite and Mozy. Both offer plans for less than $60 a year.

Multi-user clients should consider storing their literary agent software’s data file on a RAID 1 drive. With RAID 1 your data is mirrored on two drives. If one drive files your staff can continue working while waiting for the failed drive to  be replaced. Please note that RAID drives are not a substitute for an online backup.
